Privacy Policy

Visit Fairfax values individual privacy and we want to give our website visitors the opportunity to know what information we collect about them and how they can limit the use of personally-identifiable information beyond the purposes for which they first provided it. The Privacy Policy applies to your access and use of the Visit Fairfax Website (https://www.fxva.com/) and our other online programs. 2. WHAT INFORMATION DO WE COLLECT FROM YOU

We may collect information from you when you fill in an online form for any of the services available on our website (e.g., rfp forms, eNewsletter sign up, visitor guide requests, etc.). We may also collect information you give us over the telephone in written or other communications. The type of information we will collect includes, for example, your name, mailing address, electronic mail ("email") address, telephone numbers, and other information specific to the requests that are being made by you regarding the service you are wanting us to provide. 

3. PERSONALLY IDENTIFIABLE INFORMATION

We collect your email address if you request to receive opt-in eNewsletters from us, or when you elect to submit an electronic Request For Proposal (Submit Group RFP, Submit Meeting RFP, Submit Reunions RFP, and Submit Sports RFP) through the website.  You might offer us other information that you supply voluntarily through the website. An example of this may be an RFP submission, for survey information, for visitor guide request contact information, etc. This information may include name, address, phone number, etc. If you register for a contest, we may ask you for your name, email address, and zip code. We review our retention periods for personal information on a regular basis. We will hold your personal information for only as long as is necessary for the relevant activity, or as long as is set out in any relevant contract you hold with us. When you visit the Visit Fairfax website, we may also collect some basic Personally Identifiable Information about you for marketing purposes including data sent by your web browser, e.g., information about your browser, your IP address, and your operating system. 

Personal Information Uses - This information is used to tailor communications to you, by Visit Fairfax or by authorized Visit Fairfax communications entities.  Information (name, address, phone number, etc.) that you voluntarily provide may also be shared with Visit Fairfax’s contracted research firm for potential conversion study information as a result of requesting our online services. We may also use the personally identifiable information we collect to contact potential contest winners and individuals that request visitor guide, individuals requesting an RFP, opt-in email subscribers, survey participants, or to respond to an email or other inquiry or request.  This information is also used to help improve our website and our services, to customize your experience at our website, or to send updates or notices about our company and the services we offer that we think may be of interest to you. Periodically we also combine this information with other generally or publicly available information to help us identify visitors' preferences or interests. We may provide information that identifies you to companies that assist us in these activities, such as helping us fulfill your request for a product, service, or information.

Third-Party Links -  We’ve partnered with a company based in Salt Lake City, Utah called Bandwango to be our technology provider to launch a mobile Savings Pass program. Reservations made through Bandwango.com (“Bandwango”) are strictly subject to Bandwango’s privacy policy. Visit Fairfax is not affiliated with Bandwango and is not responsible for the privacy practices employed by their site or other third party sites. Use of such sites is subject to each site’s unique privacy policy. 

We use Remarketing with Google Analytics to advertise online - Third-party vendors, including Google, show our ads on sites across the Internet.  We and third-party vendors, including Google, use first-party cookies (such as the Google Analytics cookie) and third-party cookies (such as the DoubleClick cookie) together to inform, optimize & serve ads based on someone’s past visits to our website. 

Google Analytics Demographics & Interest Reporting – We use data from Google’s Interest-based advertising or third-party audience data (such as age, gender & interests) with Google Analytics. We do so to research visitor response for site improvements, segmentation of advertisements & for remarketing efforts.

We may share aggregated, non-personally identifiable information publicly and with our partners – like publishers, advertisers or connected sites. For example, we may share information publicly to show trends about the general use of our services.

We will not facilitate the merging of personally-identifiable information with non-personally identifiable information previously collected from Display Advertising features that are based on the DoubleClick cookie unless you have robust notice of, and your prior affirmative (i.e., opt-in) consent to, that merger.

Visitors can opt-out of Google Analytics for Display Advertising and customize Google Display Network ads using Ad Settings. We also encourage you to consider the Google Analytics opt-out browser add-on.

4. DATA INTEGRITY AND SECURITY

We use state-of-the-art technology to keep any information you provide as secure as possible. We also have in place contractual obligations with our vendors designed to help ensure that personal data is protected from unauthorized access or disclosure. All Visit Fairfax employees must abide by Visit Fairfax's Privacy Policy. Only authorized employees and vendors or contractors are permitted to have access to personally-identifiable data about website visitors, and that access is limited to what is reasonably needed to perform an employee's responsibilities, such as providing updates or notices or customer service. Employees who violate our Privacy Policy are subject to disciplinary action, up to and including termination.

Your privacy is very important to us. We generally won't disclose your personal information to anyone outside of Visit Fairfax, except in the following circumstances:

Service Providers

We provide personal information to a third party or trusted business to complete business processes for us.  This is based on our instructions & in compliance with our Privacy Policy plus any other appropriate confidentiality & security measures.

To Perform Services You Request

We may disclose your personal information to third parties in order to perform services you request, such as fulfillment of eNewsletters, visitor guide requests, RFPs or other functions you initiate.  This can include when you post information & materials on message boards or social media forums (e.g. Facebook, Twitter, Pinterest). Please note that when you post information in a public forum, it becomes public information.

Corporate Changes

We may disclose your information to a third party in connection with a corporate reorganization, merger, sale, joint venture, assignment, transfer or other disposition of all or any portion of our business, assets or stock, including in connection with any bankruptcy or similar proceedings.

Legal Reasons

In addition, we may use or disclose your personal information as we deem necessary or appropriate, including:

8. HOW WE ENSURE PRIVACY IS MAINTAINED

Visit Fairfax has implemented reasonable safeguards designed to prevent loss, misuse, unauthorized access, disclosure or modification of your personal information provided or collected.

Unfortunately, no system or online transmission of data can be guaranteed to be 100% secure and you should always take appropriate security measures to protect your Personal Information, including ensuring that you have up-to-date antivirus software. 9. EMAIL MARKETING ACTIVITIES AND INFORMATION

All email marketing activities from Visit Fairfax (e.g., e-newsletters and other special event notices) contain clear links to unsubscribe.  We honor all requests within 10 days.  If you are receiving email from us and wish to unsubscribe, either click the link in the email, email us, call us, or send us a note via postal mail to inform us that you no longer want to receive email from Visit Fairfax. In addition, Visit Fairfax adheres to all guidelines and only sends emails to those with whom Visit Fairfax has an existing business relationship, or individuals who have opted-in to receive tourism information from us. No email addresses are obtained through harvesting, scraping, spidering, or any other method involving an automated script. In addition, no email addresses are rented or purchased from a list broker or third party.

10. CHILDREN'S PRIVACY STATEMENT

Visit Fairfax's web site is intended for adults. We do not knowingly collect personal information from children under the age of 13. However, if the parent or guardian of a child under 13 believes that the child has provided us with personally identifiable information, the parent or guardian of that child should contact us at visitfairfax@fxva.com if they want this information deleted from our files. If Visit Fairfax otherwise obtains knowledge that it has personally identifiable information about a child under 13 in its files, we will delete that information from our existing files so that it is not in retrievable form.
